How we handle your personal data

Who is responsible for your data

Brenman Consulting Private Limited (“Brenman”, “we”) is the Data Fiduciary responsible for the personal data processed through Brenman Talent, our internal HR and people operations platform, and the public careers site.

What data we collect

Job candidates: your name, email, phone number, résumé, and any portfolio or links you choose to submit when you apply for a role.

Employees: identity and employment details (name, role, department, joining date, employee code), contact and emergency-contact details, date of birth, gender, attendance and leave records, and — where applicable — bank details, PAN, salary/CTC, tax declarations, and documents you upload.

Why we process it

Candidate data is processed solely to evaluate your application and communicate with you about the role. Employee data is processed to administer employment — payroll, leave, attendance, benefits, statutory compliance, and internal communication. We do not sell your personal data or use it for advertising.

How long we keep it

Candidates: if your application is not successful or you withdraw it, we retain your application data for up to 6 months from the decision, after which it is automatically deleted, unless you consent to us keeping it longer for future roles.

Employees: we retain employment records for the duration of your employment and, afterwards, only for as long as required to meet legal, tax, and statutory obligations (for example, payroll and PF records under Indian law).

Security

Personal data is stored on infrastructure hosted in India (Mumbai region). Sensitive fields — bank details, PAN, salary, tax declarations, and internal messages — are encrypted at rest. Access is role-restricted and audited, and files are served only through short-lived, access-checked links.

Third parties who process data for us

We use a small number of trusted service providers to operate the platform: cloud database and file storage (hosted in India), transactional email delivery, and error monitoring. These providers process data only on our instructions.

AI assistant: Brenman Talent includes an optional “Ask HR” AI assistant. When you use it, your questions and relevant HR context (such as your name, role, and leave balances) are sent to third-party AI providers located outside India to generate a response, and a memory of the conversation may be stored to improve future answers. Employees can turn this long-term memory off in their profile settings, and you are not required to use the assistant.

Cross-border transfer

Some processors (email, error monitoring, and the AI providers described above) operate outside India. Where personal data is transferred abroad, it is done in accordance with the Digital Personal Data Protection Act, 2023.

Your rights

Subject to applicable law, you have the right to:

  • access a copy of the personal data we hold about you;
  • have inaccurate or incomplete data corrected;
  • request erasure of your data where it is no longer needed;
  • withdraw consent you have given; and
  • raise a grievance about how your data is handled.

Employees can view and correct much of their own data, and export a copy, directly from their profile in Brenman Talent.
